Administrative Support PositionOur client seeks an organized, agile, and detail-oriented individual to provide administrative and clerical support to the Human Resources and Finance departments. The position will be responsible for facilitating daily office operations, managing confidential documentation, and coordinating communications and shipments between different locations of the organization.Main ResponsibilitiesAdministrative and office supportAnswering calls and receiving visitors, channeling requests to the appropriate area and taking messages when necessary.Receiving, dating, digitizing, classifying, and distributing correspondence and internal documentation.Coordinating courier services, internal and external shipments, and the distribution of materials between different locations.Ordering office materials and supplies and following up on issues related to equipment, printers, and technical services.Keeping contact directories updated and supporting the reservation of rooms and coordination of internal activities.Preparing welcome packages and communications for new staff.Support to Human ResourcesArchiving, digitizing, and indexing staff documents, including confidential information, in the Human Resources system.Supporting leaders and managers in verifying documents included in employee files.Following up on active and terminated staff documentation.Collaborating in periodic audits of files and eligibility employment forms.Updating monthly birthday and anniversary lists and coordinating related internal communications.Support to FinanceReceiving and verifying financial documentation sent by different locations, including deposit evidence, sales reports, and other receipts.Supporting the weekly check process by scanning documents, printing invoice details, preparing envelopes, and coordinating shipments or pickups.Archiving invoices, sales reports, deposit evidence, and other financial documents.Preparing and coordinating periodic shipments of documentation and materials to an external warehouse.Basic QualificationsOne (1) to two (2) years of experience in administrative or clerical functions.Knowledge and use of Microsoft Office.Excellent attention to detail and organizational capacity.Agility to handle multiple tasks and priorities.Ability to handle sensitive and confidential information discreetly.Required SkillsEffective oral and written communication.Active listening and service orientation.Understanding of work-related documents.Critical thinking and ability to identify solutions.Organization, follow-up, and management of priorities.TPIS is an equal opportunity employer (EEO Employer/Affirmative Action for Women/Disabled/Veterans).
